Receptionist

Title: Receptionist

Reports to: Customer Service Manager

Summary: Responsible for answering the company phones, greeting visitors & directing them to the correct personnel. Serve as the first point of contact for new visitors and callers to the company. Open and distribute company mail and assist the accounting area with filing if needed. This position is also responsible for all the mailings that need to be sent out via US Mail or FEDEX.

DUTIES AND RESPONSIBILITIES

  • Greet vendors, customers, applicants, etc. and direct them to the appropriate company personnel.
  • Answer the phones in a friendly, helpful, and efficient manner.
  • Open and distribute company mail.
  • Handle sensitive client and business documentation with strict confidentiality, maintaining organized NDA records and compliance logs.
  • Comply with company policies and procedures including confidentiality and following safety protocols.
  • Perform basic accounting and bookkeeping tasks, including logging transactions, balancing records, and assisting with financial tracking.
  • Manage occasional local errands, including routine post office runs and nearby trips (5% travel or less)
  • Assist customers with basic inquiries and order entry, while stepping in to provide team coverage during staff vacations with additional duties as assigned by management.

EDUCATION and/or EXPERIENCE

  • High school diploma or GED
  • 2+ years general office experience
  • A friendly, professional image and demeanor.
  • Experience with Microsoft Products (Word, Excel)
  • Experience with Microsoft 365 and Outlook

Candidates are PREFERRED who offer the following:

  • At least 6 or more months of experience as a front desk receptionist.
  • 2+ years experience with Microsoft Products (Word, Excel, Outlook)
  • Self-motivated; ability to work with minimal supervision

LANGUAGE SKILLS

  • Excellent speaking and phone communication skills.
  • Represent the brand professionally through clean, clear, and courteous written email correspondence.

PHYSICAL DEMANDS

  • Employee is regularly required to walk, stand, sit for long periods of time, talk and hear.
  • Vision requirements include: close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the functions of this job.

  • There is limited opportunity but may be exposed to wet and/or humid conditions, moving mechanical parts, and fumes or airborne particles.
  • The noise level in the work environment is usually moderate.

PERFORMANCE MEASUREMENTS

Operating standards - The employee will need to meet or exceed the Operating Standards set in the area of administration. Such standards will be set annually and communicated to the assistant.

Personal growth - Each year there will be professional goals developed and agreed to by the Receptionist/Assistant and Plant Manager/General Manager.

Employee relations – The employee will be evaluated regarding behaviors associated with appropriate human interaction, respect and communication and ability to exercise discretion.
