Job Title: Purchasing & Inventory Coordinator

SUMMARY- Purchasing Coordinator is responsible for organizing and maintaining spare parts inventory warehouse. Assists with the procurement of paper machine equipment, MRO (maintenance, repair, operation) supplies, office supplies, building materials, mobile equipment and contractor services related to the paper manufacturing facility.
SCOPE- Purchasing Coordinator must have strong communication and organizational skills in purchasing needs of all departments relating to the demanding deadlines of a lean “24-7” environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES: (Other duties may be assigned)-
Manage the Store Room order of material and equipment to meet requirements
Manage inventory of spare parts and other consumables
Coordinate the delivery of supplies according to priorities and specifications
Assist in negotiations for purchases, including annual contracts, long-term contracts and blanket orders
Communicate with vendors and shipping companies to ensure that all critical deliveries arrive on time
Prepare RFQ (request for quotation) and bid packages
Assist in set up of new vendors and subcontractors
Type purchase orders
Place approved orders
Expedite outstanding purchase orders
Assist accounting with invoice discrepancies
Assist with reports and analysis to ensure timely procurement and cost control
Highly organized and motivated, ability to multi-task, self-starter
EDUCATION and/or EXPERIENCE
Post-secondary educational degree (2 to 4 year degree from college, university, technical school, military, vocational or other advanced educational institution) REQUIRED
MS Office, Google Workspace, SAP, Inventory Management System a plus
LANGUAGE SKILLS
English, negotiation skills
Ability to read, analyze and interpret technical procedures, manuals, regulations, and codes
Ability to write business reports and correspondence
Ability to communicate effectively with suppliers, contractors, employees, and outside officials
Clear, concise oral and written communication skills
MATHEMATICAL SKILLS
Knowledge of accounting principles needed
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, volume, and net present value. Able to apply concepts of algebra and geometry along with basic math (adding, subtracting, multiplying and dividing)
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
Highly organized and motivated, ability to multi-task, self-starter, must work well under pressure
TECHNICAL SKILLS
Microsoft office, word, excel and SAP a must
Google Workspace (Calendar, Drive, Gmail, Docs, Sheets)
Experience with Inventory Management Systems a plus
Ability to create reports for review by upper management

WORK ENVIRONMENT
While performing the duties of this job, the employee is frequently exposed to wet and/or humid conditions, moving mechanical parts, and fumes of airborne particles
The noise level in the work environment is usually loud

Performance will be measured by the adequate and timely flow of materials and maintaining a clean and organized storeroom.
