Executive Assistant - NYC based


Our company is searching for an experienced, reliable and task-oriented Executive Assistant. The Executive Assistant will work directly with the Executive Management team and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment. Responsible for support to the Executive Financial Officer.


  • Provide support for Executive team including preparing correspondence, presentations and administrative tasks.
  • Exercise independent judgment and discretion regarding personal and Company matters.
  • Provide Quality Customer Service
  • Uphold a strict level of confidentiality
  • Planning and Scheduling meetings and appointments
  • Managing projects and conducting research
  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients.
  • Arrange corporate events to take place outside of the work place, such as golf tournaments, fund-raising events and staff appreciation events.
  • Maintain an organized filing system of paper and electronic documents
  • Preparing and editing correspondence, reports and presentations
  • Making travel and guest arrangements
  • Prepare reports on a regular basis
  • Prepare Internal and External corporate documents
  • Develop and sustain a level of professional ism among staff and clientele
  • Comply with company policies and procedures.
  • Additional duties as assigned by management.


  • High school diploma or GED. College degree preferred.
  • Minimum of 2- 4 years of experience as an Executive Assistant reporting directly to senior management
  • Advanced Microsoft office skills, with an ability to become familiar with firm specific programs and software
  • Proficient with Zoom meetings as well as Microsoft Teams and other virtual meeting platforms.
  • Advanced computer skills with PC and Mac.
  • Proficiency in collaboration of duties
  • Strong organizational, project management and problem solving skills with impeccable multi-tasking abilities
  • Exceptional interpersonal skills
  • Friendly and professional demeanor
  • Ability to handle confidential information


Excellent writing skills, including spelling and grammar. Ability to compose business correspondence. Excellent phone communication skills.


Employee is regularly required to walk and talk and hear, sit and stand. Vision requirements include: close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.


While performing the duties of this job, the employee will be at times if in warehouse areas or plant areas exposed to wet and/or humid conditions, moving mechanical parts, and fumes or airborne particles. The noise level in the work environment can be loud. Usual work area will be in office areas.
